A study abroad application usually includes dozens of documents, arising gradually through many stages and each country has its own requirements. This article is a checklist for studying abroad applications divided into stages, helping students and parents know what to prepare, when, and avoid mistakes that cause applications to be delayed or rejected.
Stage 1: Personal and academic documents
This is the "foundation" for all the following steps. You should prepare 12–18 months before the expected date of admission.
- Passport: a term of at least the course duration plus a few months is ideal. Ordinary passports can be applied for online through the Public Service Portal or at the Immigration Department. See more articles Passport for international students.
- CCCD, birth certificate: birth certificate is needed for student records under relationship 18 years old and proven with financial guarantor.
- Academic records, transcripts, diploma (or temporary graduation certificate).
- Foreign language certificates: IELTS, TOEFL, PTE, JLPT, TOPIK, HSK, Goethe... depending on the country. Note the validity period of the certificate.
- ID photo according to each country's standards (size, background, time taken).
Stage 2: Admission documents and scholarships

- School online application or common system (e.g. Common App, UCAS).
- Personal essay, Statement of Purpose. Reference How to write Personal Statement.
- Letter of recommendation from teacher, tutor or direct manager.
- CV, records of extracurricular activities, awards; portfolio with art and architecture.
- Research outline for research master's and doctoral levels.

Stage 3: After receiving an admission letter
- Admission letter (Offer Letter): read carefully the conditions and acceptance deadline. See article Offer Letter is conditional and unconditional.
- Receipt of tuition payment and deposit.
- Admission confirmation To apply for a visa: CoE (Australia), I-20 (USA), CAS (UK), letter of acceptance (Canada), admission permit or Japanese COE... Find out in the article What are CoE, I-20, CAS.
- Medical insurance for studying abroad as required (e.g. OSHC with Australia).
- Confirmation of accommodation (dormitory, homestay) if any.
Stage 4: Visa application
Visa documents usually include the following groups, depending on the country:
- Visa application and fees.
- Confirmation of admission in stage 3.
- Financial proof: savings book, statement, income documents, guarantor's assets, blocked account (with Germany). Read the article carefully Proof of finances for studying abroad.
- Family relationship documents: birth certificate, residence confirmation when parents sponsor.
- Health examination at designated facility (for some countries).
- Criminal record (when requested).
- Biometrics (fingerprint, photo) and interview schedule if available.
Documents issued by Vietnamese agencies sometimes need consular certification at the Consular Department or Ho Chi Minh City Department of Foreign Affairs, and consular legalization at foreign representative agencies, depending on the requirements of each country.
Stage 5: Documents to bring when flying
- Passport with visa, airline tickets (electronic and printed copies).
- Original admission confirmation, invitation letter, tuition receipt.
- Insurance documents, accommodation address, pick-up information.
- Original diploma and transcript (for admission and comparison).
- Prescription in English if bringing medication.

Frequently asked questions
When should I start preparing my study abroad application?
Ideally 12–18 months before admission, especially when applying for scholarships. As for passports and foreign language certificates, you should get them as soon as possible.
Do all documents need to be notarized?
Are not. Many schools accept scanned copies and only check originals upon admission. Only notarize or translate when required by the school or visa agency.
What about names on different documents?
Agree on how to write your full name according to your passport right from the beginning. If the old documents are different, prepare a confirmation or explanation to avoid being asked when considering a visa.
Do visa documents need originals?
Most countries submit online via scanned copy, but may require the original to be presented at interview or immigration. Please bring the original with you when flying.
